Document management officer – Temporary agent (B*3)


Purpose of post:


The EEA is about to professionalize its registration, filing and archiving. To bring that about we are looking for a document management officer who can lead us through this transition. The EEA will develop a centralised document management system and aims at promoting a new culture of case handling in the Agency. The document management officer will lead the document management activities under the supervision of the Head of Administration.

Functions and duties:


  • Document registration software responsible
  • Set-up and maintain the filing plan
  • Develop and maintain document management procedures and workflow
  • Support users in registration/filing/archiving procedures and software
  • Awareness raising of good administrative behaviour
  • Registration and filing of incoming and outgoing mail.

Eligibility


  • Education certificates and diplomas:
    • Post-secondary education attested by a diploma.
  • Range of professional experience and skills:
    • A minimum of three years of relevant working experience;
    • Good knowledge and practise of IT software, especially databases
    • Understanding of document management with experience from organisations similar to EEA
    • High capacity of spearheading change processes and a strong end-user orientation
    • Knowledge and experience of ADONIS software/European Commission eDomec will be an asset.



GENERAL CONDITIONS:

Candidates applying must satisfy the following general requirements on the closing date for the submission of applications:

  • Be a national of one of the Member Countries of the EEA (Member States of the European Union plus Iceland, Liechtenstein, Norway, Bulgaria, Romania, and Turkey);
  • Enjoy full rights as a citizen;
  • Have fulfilled any obligations imposed by law concerning military service;
  • Meet the educational requirements as described under "Eligibility: Education certificates and diplomas";
  • Meet the character requirements for the duties involved;
  • Have a thorough knowledge of one of the languages of the EEA Member Countries and a satisfactory knowledge of a second of these languages. Good knowledge of English would be an asset.

Applications sent after the closing date will be rejected.

In the case of applications submitted by post, the postmark stamped on the envelope will serve as proof.

Selection:

The procedure comprises a pre-selection of the best qualified candidates based on the eligibility criteria in relation to the post to be filled. Pre-selected candidates will be called for an interview. The interview will be held for the most part in English.

Request for review:

Candidates who have not been admitted to the selection procedure will be notified by letter. The candidate may ask to have his/her application reconsidered by sending a request for review to the Chairman of the Selection Committee at the address indicated above within 21 calendar days from the date of the letter of notification.

Recruitment:

The selected candidate shall before recruitment undergo a compulsory medical examination to establish that he/she meets the standard of physical fitness necessary to perform the duties involved.

Any personal data provided by the User shall be processed pursuant to European Regulation related to personal data protection, in particular Regulation (EC) No 45/2001 on the protection of individuals with regard to the processing of personal data by the Community institutions and bodies and on the free movements of such data.
